Privacy Policy
Last updated: 2026
This Privacy Policy explains how Immerse Vision UK (“we”, “us”, “our”) collects, uses and protects your personal data when you visit our website or get in touch with us. We are committed to handling your data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Who we are
Immerse Vision UK is an immersive 3D virtual tour and Matterport production studio, creating interactive virtual tours for businesses, universities, museums, cafés, offices and venues across the UK. For the purposes of UK data protection law, Immerse Vision UK is the data controller for the personal data described in this policy.
You can contact us by email at immersevisionuk@gmail.com. Our registered address is available on request.
What personal data we collect
- Enquiry form: when you contact us through our website enquiry form, we collect your name, email address and the message you send us.
- Email correspondence: if you email us directly, we hold the contents of that correspondence and your contact details so we can reply.
- Website analytics: we collect limited, largely aggregated information about how visitors use our site, such as pages viewed, approximate location, referring source and device or browser type.
Lawful basis for processing
We rely on the following lawful bases under UK GDPR:
- Legitimate interests: to respond to enquiries, provide and manage our services, and understand how our website is used so we can improve it. We balance this against your rights and freedoms.
- Consent: where required, for example for any non-essential analytics cookies. You can withdraw consent at any time.
- Contract: where processing is necessary to take steps at your request before entering into a contract, or to perform a contract with you.
How we use your data
- To respond to your enquiries and provide quotes and information about our services.
- To plan, deliver and manage virtual tour production and hosting for our clients.
- To maintain records of our correspondence and projects.
- To understand and improve how our website performs using aggregated analytics.
We do not sell, rent or trade your personal data, and we do not use it for third-party advertising.
Third parties and processors
We use a small number of trusted service providers who process personal data on our behalf under appropriate agreements. These include:
- Email delivery: enquiry form submissions are delivered to us via Resend.
- Hosting and analytics: our website hosting and analytics providers process technical and usage data needed to run and measure the site.
Where a provider processes data outside the UK, we take steps to ensure your data continues to be protected by appropriate safeguards as required by UK data protection law. We only share your data with these providers to the extent necessary to deliver our services.
Data retention
We keep personal data only for as long as necessary for the purposes for which it was collected. Enquiry and correspondence data is retained while we are in contact with you and for a reasonable period afterwards in case you get back in touch; client and project records are kept for as long as needed to provide our services and to meet our legal, accounting and tax obligations. We then securely delete or anonymise it.
Your rights
Under UK GDPR and the Data Protection Act 2018 you have the right to:
- access the personal data we hold about you;
- request rectification of inaccurate or incomplete data;
- request erasure of your data in certain circumstances;
- object to, or request restriction of, our processing;
- data portability, where applicable; and
- withdraw consent at any time where we rely on consent.
To exercise any of these rights, please email us at immersevisionuk@gmail.com. We will respond within the timeframes required by law.
Complaints and the supervisory authority
We hope to resolve any concern you have about how we handle your data. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO), the UK supervisory authority for data protection, at ico.org.uk.
Cookies
We use only a minimal set of cookies and similar technologies. Some are strictly necessary to make the site work, while any analytics cookies are used to understand site usage and are set in line with your choices. We do not use advertising or cross-site tracking cookies. You can control or block cookies through your browser settings.
Changes to this policy
We may update this policy from time to time. Where we make material changes, we will update the “Last updated” line at the top of this page.
